Oregon RVing Women
Chapter Rules

1. Qualifications of Members
a) Any member of the
national RVW organization who so desires may become a member of the Oregon Chapter by payment of the Chapter affiliation dues and processing
fee.
b) RVW Members may
belong to more than one Chapter.
c) Any woman who is
interested in RVing and is a prospective RVW member may participate in no more than two (2) Chapter events before joining.
2. Admission of Members
a) All Oregon Chapter
members must be members of National RVW.
b) Applicants will be
admitted to membership upon receipt of a completed application, including their national RVW member number, and accompanied by payment of dues
and any associated fees to the Chapter.
c) Member must be a
female 18 years of age or older.
d) Successful applicants
will be mailed a new member packet to include:

ü Last
newsletter (or Chapter Brochure)
ü Oregon Chapter
of RVing Women By-Laws
3. Fees and Dues
a) The dues shall be
five dollars ($5.) per person per year.
b) New members will be
levied a five dollar ($5.) processing fee in addition to their annual dues.
c) The annual dues and
new member fees for the Chapter shall be determined by the Chapter Executive Committee and shall be levied on a per person per calendar year
basis (Jan 1 - Dec 31).
d) Annual Chapter dues
will be payable by January 31, of each year.
e) Any member not paying
their dues by April 30th will be dropped from the Chapter roster and have a non-member status.
4. Officers and terms
1. Officers
a) The Executive
Committee shall consist of a President, a Secretary and a Treasurer.
b) A Newsletter Editor
may be appointed by the President as well as other appointees as the President deems appropriate.
c) Officers must reside
in Oregon.
2. Terms
a) Officers shall hold
office for two years.
b) The President and
Treasurer shall be elected in even numbered years and the Secretary in odd numbered years.
c) Officers may be
re-elected for a second term, but shall hold their specific elected office for no more than two consecutive terms.
d) The term of office
shall be January 1 to December 31.
3.
Duties:
The President shall
a) Preside at meetings
of the Chapter;
b) Perform
administrative duties;
c) Supervise the
activities of the Chapter;
d) Authorize
expenditures of the Chapter funds;
e) Ensure the timely
submission of all reports to RVing Women;
f) Promote
in every reasonable way the interest of the Chapter and the interests of RVing Women;
g) Appoint committees as
required;
h) See that nominations
are made for all offices by the election date;
i) Be the
contact person for the RVW Board of Directors
j) Provide leadership for the recruitment
of
new members and market the Chapter
to
potential new
members.
The Secretary shall
a) Keep all the records
of the Chapter, including an up-to-date membership list and committee reports;
b) Maintain the official
documents of the Chapter, including Bylaws, Chapter Rules, Rules of Order, correspondence, and minutes of meetings;
c) Assist
in the distribution of a newsletter for communication of Chapter and RVW activities;
d) Mail notices of
activities, meetings, and elections to all members;
e) Be responsible for
minutes being taken at any official Chapter meetings.
f) Be
responsible for receiving event registrations, generate registration lists for parks, and participant lists for event hosts; distributes event
activity schedules as submitted by event hosts.
The Treasurer shall
a) Be responsible for
receiving and disbursing the Chapter funds;
b) Balance and reconcile
the Chapter bank account(s);
c) Prepare financial
reports for the Chapter members and submit to the RVW Board of Directors;
d) Submit the annual
Chapter Financial Statement to RVW for inclusion in RVW's income tax return;
e) Prepare a proposed
annual budget and submit it to the Executive Committee to be presented at the Chapter business meeting;
f) Submit
the books for audit;
g) Be a signatory of the
bank account along with one other Executive Committee member;
h) Submit financial
reports to the RVW Board of Directors as required.
i) Be
responsible for sending out dues notices (renewals), collect dues, and coordinate with the Secretary to update the membership list.
5. Finances
a) Necessary expenses of
the Chapter shall be paid from the treasury of the Chapter, but in no year shall the total expenses of the Chapter
exceed the sum of the amount allotted for this purpose in its annual budget.
b) There shall be at
least two current officers as signatories on the account.
c) No officer or member
of the Chapter shall have authority to incur expenses in the name of RVW, without written authority.
d) The books of the
Chapter shall be audited in January of each year.
e) An annual budget
shall be prepared by the Executive Committee and presented at the annual Chapter meeting.
f) The
Auditor shall be appointed by the Executive Committee.
g) Appropriate financial
forms will be filled out for any income or expenses incurred during any scheduled event or activity by the host. Said forms
will be turned into the Treasurer.
6. Executive Committee
The Chapter Executive Committee, consisting of the officers of the Chapter may act on behalf of the Chapter during
the intervals between annual meetings.
7. Elections
a) The nominating
committee shall provide names for the election of officers by June 30th of each year.
b) Officers shall be
elected by a majority vote of members submitting ballots by either mail, email or hand delivered to a Chapter Officer.
c) Ballots shall be
mailed to the Oregon RVW members by July 15th of each year.
d) Members are
responsible for returning the ballot by August 15th of each year.
e) The President and a
member who is not a candidate or officer shall count the ballots and report to the membership the names of those elected.
f) Upon
election of officers the Chapter Leadership Roster shall be mailed to RVW by September 1st.
8. Vacancy of office
a) If a vacancy occurs
in the office of the President the Secretary or the Treasurer shall become the interim President until a special election can be held.
b) If a vacancy occurs
in other offices, the President may hold a special election or select an existing Chapter member to assume the duties for the remainder of the
unexpired term.
9. Meetings
a) The annual Chapter
meeting shall be held during the first or second Event of the year.
b) Notice of the annual
meeting shall be given each member of the Chapter at least 30 days in advance. It is understood that publication of a
notice of the meeting in the RVing Women Magazine, the Chapter newsletter, or Chapter website, shall constitute adequate notice.
c) Additional business
meetings can be held at Chapter outings provided at least sixty (60 days notice is given.
d) Minutes shall be
taken at all Chapter meetings.
10. Newsletter
(a) The Newsletter Director shall send copies
of
event
activities to the RVW editor for inclusion
in the RVW
magazine, and submit the same to
the Chapter Secretary to be sent out to members as a Newsletter.
11. Activities
a) Pets are welcome at
the rallies. Our only rule is, because of other women's allergies and possible disruption problems that your pets do not
come to meals and seminars or scheduled group activities. Well behaved, leashed animals are allowed at activities that do not involve meetings
or food. We must comply with campground rules and the ADA policy on service animals.
b) Every pet owner is
responsible for following the campground's pet rules, to clean up after their pets, and to not allow excessive barking.
c) Scheduled activities
are for women only. No men or children are allowed.
d) Non members may
attend a maximum of two (2) Chapter activities before becoming members of the Chapter.
e) Campouts are
scheduled to arrive on Friday and depart on Monday.
f) Members
wishing to attend events need to contact the Secretary and pay any deposit fees to the Treasurer.
g) Members wishing to
cancel arrangements to attend an event need to contact the Secretary and the RV Park within the required time from of the Park to receive a
refund on their deposit.
h) The Executive
Committee reserves the right to accept or refuse any activities to occur during an event.
i) Any
member who wants to advertise or sell merchandise at an event may do so by announcement or brochure, but may only display and sell items
within their unit.
12. Amendments
a) Chapter Rules may not
be in conflict with, or supersede, the Bylaws or the Bylaws or Policies and Procedures of RVing Women.
b) Chapter Rules may be
adopted, amended, revised, or repealed at any publicized meeting upon approval of two-thirds of the members present.
c) When it becomes
necessary to add or amend existing Chapter By-laws the Executive Committee shall send such changes to the RVW Board of Directors for approval,
and after approval submit same to Chapter members for approval. Two-thirds of members voting must approve of the changes
for the By-Laws to be in effect.
